IT inventory

One list of everything the business owns, who has it and where it is, from ordered to disposed. Monitored devices add themselves, with their hardware and installed software read once a day.

What it's for

Laptops, desktops, phones, monitors, printers, docks and the devices Uplivra already monitors, in one list. For each one you can see:

  • who has it and where it is;
  • what it cost and what it's worth now;
  • when the warranty or lease ends and when to replace it;
  • what software is on it.

Open it under Inventory in the side menu.

Adding assets

There are three ways:

  • Add an asset opens a three-step wizard: what it is, who has it and where, then purchase and lifecycle. Only a name or an asset tag is needed.
  • Add monitored devices makes an asset for each monitored device that doesn't have one yet.
  • Import a spreadsheet reads a CSV file. Rows match existing assets by asset tag, then by serial number, so you can import the same file again to update it. The quickest way to get the layout is to Download CSV first and fill it in.

Dates look like 2027-06-30. A software column can list programs separated by ;.

Hardware and software, read for you

Once a day, devices with an SNMP, SSH or Windows check also report their hardware and installed software. This is read-only: nothing is installed on the device.

What the device reports fills in fields you left blank and keeps the operating system current. It never overwrites what you typed.

The lifecycle

Each asset has a status:

  • Ordered, In stock, In use, On loan and In repair are the active ones.
  • Retired, Disposed of and Lost or stolen drop out of the list. Tick Include retired and disposed to see them again.

On an asset's page you can:

  • Check out to a person, or record it as a loan;
  • Returned to stock;
  • Sent for repair;
  • Retire;
  • Record disposal, with the recycler and the certificate of data destruction number.

Every change is kept in the asset's History, with who made it and when.

Book value is straight-line: the cost spread over the years you set in Write off over.

Software and licenses

Software and licenses lists every program found, how many assets it's on, and the versions seen.

For each program you can record:

  • the license type;
  • the seats you bought, the cost and the renewal date;
  • the owner.

More installs than seats shows where you're under-licensed. License keys belong in the Secrets vault: link the vault item instead of typing the key.

Mark programs approved, unapproved or banned. When unapproved or banned software is newly found on an asset, Uplivra opens an alert: a warning for unapproved, a problem for banned.

Reports

The Inventory section of Reports adds:

  • assets by status;
  • cost and book value;
  • warranties ending;
  • assets due for replacement;
  • programs with more installs than licenses.

Who can use it

Two permissions control it: See the IT inventory, and Add, change, check out, retire and import assets and software. The built-in Help desk profile has both.
